Job Purpose
The Visa Support Associate plays a crucial role in facilitating the visa application process for the Republic of Korea in Berlin. This position is responsible for providing excellent client service, accurately collecting and processing applications, and managing data and fees in compliance with regulations. The role directly supports the efficient and timely operation of the Visa Application Centre, ensuring a convenient experience for applicants while upholding IOM's standards and contributing to the smooth functioning of migration services.
Responsibilities
Provide exceptional client service to visa applicants, adhering strictly to Korean Ministry of Justice regulations and service standards. Assist applicants by distributing forms, providing accurate information via phone, email, and in person, and guiding them on value-added services. Collect and meticulously verify visa applications and supporting documents for completeness and correctness. Input applicant data into the VAPS software, ensuring accuracy and maintaining expert-level knowledge of the system. Process payments, verify fees, issue invoices, and perform daily reconciliation of collected funds. Support the secure transfer of applications and passports to and from the Korean visa office and ensure their secure return to applicants. Maintain a professional demeanor and migrant-friendly approach, promptly reporting any issues or suggesting improvements to management.
Work Experience
Required experience includes customer service. Experience in migrant-related programs or visa services is a strong advantage. Previous working or living experience in the Republic of Korea is also considered an advantage.
Skills
Knowledge of visa application processes and client service standards. Ability to provide accurate and timely applicant information. Skill in reviewing, verifying, and sorting application documents with attention to detail. Proficiency in using application management software for data and document tracking. Competence in accurately and securely reconciling fees and invoices. Ability to maintain professionalism, confidentiality, and a migrant-friendly approach.
