Finance Associate (multiple Duty Stations)

Job Purpose
The Finance Associate, reporting to the Finance Officer and under the overall supervision of the Head of Resources Management, will be responsible for supporting financial resource management. This role involves ensuring the monitoring and control of assets, reserves, funds, and supplies in compliance with IOM's rules and regulations. The position contributes to the preparation of annual budget proposals and revisions, including estimating costs for personnel, rent, equipment, supplies, and other operational expenses. The Finance Associate plays a key role in maintaining accurate financial records, processing payments, and supporting financial operations to ensure efficient and compliant resource management within the organization.
Responsibilities
Support financial resource management by monitoring and controlling assets, reserves, funds, and supplies according to IOM regulations. Assist in preparing annual budget proposals and revisions, estimating costs for personnel, rent, office supplies, and other operational expenses. Extract and input data into financial and accounting systems. Provide support on accounting, budgeting, and financial management matters. Participate in payroll preparation by conducting monthly validity checks. Review all payment types, from purchases to vendor requests, ensuring proper authorization and complete supporting documentation. Create new vendor accounts in the organization's financial system. Verify vendor payment requests for accuracy and compliance with IOM financial policies. Examine payment requests against supporting documents to confirm authorization and delivery of goods or services. Contribute to the preparation of budgets, accounting, financial, and statistical reports. Provide administrative support to staff for travel, expense claims, and document retrieval. Ensure systematic filing of all accounted payments and accounting documents. Manage the office petty cash fund. Perform any other related tasks as assigned.
Work Experience
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational skills and methodical document management abilities. Experience in international humanitarian organizations, NGOs, or government institutions in a multicultural setting is an asset. Basic knowledge of International Public Sector Accounting Standards (IPSAS) is desirable.
