This role is responsible for supporting human resources management in accordance with IOM's regulations and procedures. Responsibilities
Key responsibilities include supporting recruitment by coordinating vacancy announcements, screening applications, scheduling interviews, and conducting reference checks. The role involves managing pre-employment activities, preparing onboarding documentation, coordinating medical examinations, and facilitating orientation sessions. The incumbent will perform data entry and maintenance in the HR system, ensuring accuracy and consistency, and monitoring contractual status and entitlements. Additionally, the position involves acting as Timekeeper, managing leave records, and generating reports. Support will be provided for separation, classification, and promotion processes, including documentation and coordination. Maintaining electronic and physical HR archives, drafting HR-related documents, and supporting the organization of HR events and meetings are also core duties. The role also includes responding to general HR inquiries and performing other related tasks as assigned.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is essential. Previous experience with SAP or Oracle is advantageous. Experience in organizing paperwork methodically, handling details, and demonstrating patience and a willingness to learn is important. Prior work in international humanitarian organizations or governmental institutions in a multicultural setting is beneficial.
Skills
Strong organizational, coordination, and communication skills. Understanding of HR policies, rules, and procedures, including recruitment and staff administration. Computer literacy, including MS Office proficiency. Knowledge of internal IOM systems (e.g., Oracle) is an advantage. Ability to handle sensitive employee data with confidentiality and discretion. Document drafting capabilities. Attention to detail for accuracy in records and compliance.
