Job Purpose
This Operations Associate (Movement Management) role is crucial for executing IOM's core mandate of facilitating the organized movement of individuals requiring international migration assistance. The position is responsible for undertaking all movement activities, ensuring compliance with agreements with governments and partners. The role involves coordinating travel arrangements, managing data, and providing essential support to migrants and refugees throughout their journey. The associate will work under the supervision of senior movement staff, contributing to the efficient and effective delivery of IOM's mobility services and upholding the organization's commitment to assisting vulnerable populations.
Responsibilities
Key responsibilities include coordinating and booking travel arrangements, ensuring timely distribution of travel notifications and updates, and managing domestic flight bookings. The role involves organizing all bookings in compliance with IOM tariffs and standard operating procedures (SOPs), and distributing travel information to stakeholders. Data management is critical, including compiling statistics, preparing travel loan paperwork, and creating movement data files for accountability. The associate will also identify and assign escorts for vulnerable individuals, process exit permission and travel documents, and conduct identity and document verification. Pre-departure counseling on travel procedures and special needs is required, along with identifying and addressing beneficiary vulnerabilities. The role demands maintaining an in-depth understanding of Movement Operations SOPs and systems, ensuring confidentiality, and alerting supervisors to any non-compliance.
Work Experience
Prior experience in Movement Operations or transportation is highly advantageous. Experience within programs involving movement operations, particularly in resettlement programs, is also a strong asset. Familiarity with processing systems like MiMOSA and ATOMS, and experience with travel agencies or knowledge of airline Global Distribution Systems (GDS) such as Amadeus, are beneficial.
Skills
Proficiency in Microsoft Office and other software is essential. Strong interpersonal and communication skills are required, along with attention to detail and organizational abilities. The candidate should be self-motivated, objective-driven, able to use initiative, and work effectively under pressure with minimal supervision. Skills in travel management, including identifying cost-effective travel solutions, are also important.
