Organizational Context

Job Purpose
The Project Associate - Information Management is responsible for assisting in the implementation and monitoring of project activities, ensuring efficient administrative coordination and information flow. This role involves retrieving, compiling, analyzing, and presenting data to support project objectives. The associate will manage administrative tasks, including budget monitoring and liaison with internal and external stakeholders. They will also be responsible for drafting reports, correspondence, and other documentation, as well as organizing meetings and training sessions. The position plays a crucial part in ensuring smooth project execution and effective communication with partners and beneficiaries, contributing to the overall success of IOM's projects in the region.
Responsibilities
Assist in the implementation and monitoring of project activities, including retrieving, compiling, summarizing, analyzing, and presenting project-related information and data. Monitor project budgets, verify fund availability, obtain necessary approvals, and update budget information. Serve as a focal point for administrative coordination, liaising extensively with diverse organizational units and external parties to initiate requests, obtain clearances, and process administrative actions. Draft status reports, identify delivery shortfalls, and propose remedial actions to the supervisor. Prepare correspondence, reports, briefing notes, graphics, statistical tables, and presentations. Respond to complex information requests, maintain files and records, and organize meetings, workshops, and training sessions. Participate in meetings and conferences, assisting in coordinating implementation activities with local authorities, partners, UN agencies, intergovernmental and non-governmental organizations, donors, and other relevant stakeholders. Monitor the work of implementing partners and report any non-compliance issues. Provide guidance and training to new or junior staff, and perform other related duties as assigned.
Work Experience
Experience in liaising with governmental authorities, national/international institutions, UN agencies, and NGOs. Experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups. Prior work experience with international humanitarian organizations, non-government, or government institutions in a multicultural setting is advantageous.
Skills
In-depth knowledge of migration-related subject areas. Knowledge of UN and bilateral donor programming. Knowledge of financial rules and regulations. Proficiency in English and Spanish.
