Job Purpose
The purpose of this role is to provide essential operational support for the arrangement of movements of third-country nationals. Working under the supervision of the National Cluster Coordinator and Project Assistant, the Operations Assistant will ensure the smooth and compliant execution of transportation processes. This involves supporting national authorities in embarkation and disembarkation, managing documentation, and contributing to the overall efficiency of IOM's migration management efforts in Greece. The role is crucial in facilitating orderly migration and providing necessary assistance to individuals on the move.
Responsibilities
The Operations Assistant is responsible for ensuring the security, order, and confidentiality of all movement-related interactions and transactions. This includes adhering strictly to IOM standards, guidelines, and operating procedures, as well as IOM administrative standards. The role involves utilizing IOM Business Applications (MIMOSA, ALWIS) for movement processing. Key duties include supporting national authorities during embarkation and disembarkation processes, assisting with meal distribution, and ensuring proper handover of documentation. The position also requires gathering, filing, and tracking all required reporting documents, collecting information for procedural improvements, and producing regular reporting input.
Work Experience
Previous experience of at least one year in a similar role is preferred. Familiarity with direct assistance to migrants and/or refugees is advantageous. Experience working in a multi-cultural environment is also considered an asset.
Skills
Computer literacy in standard software applications (MS Office, etc.) is an asset. Willingness to work flexible hours, including shifts, holidays, and weekends. A valid driver's license with at least five years of driving experience is an advantage. Strong flexibility, conflict resolution capabilities, good communication skills, personal commitment, and efficiency are required.
