Organizational Context
The International Organization for Migration (IOM) in Syria is seeking a Finance Associate based in Damascus. This role operates under the direct supervision of the National Finance Officer and the overall supervision of the Head of Resources Management. The position collaborates with relevant units at the Main Office to assist in managing the organization's resources.
Job Purpose
The Finance Associate will be responsible for assisting in the management of the resources management functions within the IOM Main Office in Damascus. This involves supporting the National Finance Officer and collaborating with other units to ensure efficient financial operations. The role contributes to the overall financial health and operational effectiveness of the IOM mission in Syria by providing crucial support in financial administration and resource management, adhering to IOM's rules and regulations. The position plays a key part in maintaining accurate financial records and supporting budgetary processes.
Responsibilities
Key responsibilities include assisting in the management of financial resources by monitoring and controlling assets, reserves, and funds in line with IOM regulations. The role involves supporting the preparation of annual budget submissions and revisions, including estimating various operational costs. Extracting and inputting financial data into accounting systems, and providing guidance on accounting and financial matters are essential duties. The Finance Associate will assist in payroll preparation, review payments for accuracy and authorization, and verify vendor claims against supporting documentation and IOM policies. Additionally, the role supports the preparation of financial reports, assists staff with financial services like expense claims, ensures proper completion of accounting documents, manages the office's petty cash, and performs other related duties as required.
Work Experience
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) is essential. Previous experience with Oracle is a distinct advantage. The role requires attention to detail, methodical organization of paperwork, discretion, and a willingness to learn. Prior work experience in a multicultural setting with international humanitarian organizations or government institutions is also advantageous.
Skills
Specialized knowledge of Finance, strong work ethics, commitment to humanitarian principles, ability to work under time constraints, and capacity for harmonious collaboration with diverse colleagues. Skills in accounting and financial management, including petty cash management, are required. Good communication, interpersonal, and organizational skills, with the ability to draft concise reports, are also necessary. Proficiency in Word, Excel, and Internet usage is expected.
