ICT Procurement Associate
Organizational Context

This ICT Procurement Associate role operates within the Information and Communications Technology (ICT) department, reporting to the Head of Resources Management, and collaborates closely with ICT project managers and business units.
Job Purpose
The ICT Procurement Associate is responsible for executing procurement and contract administration functions within the ICT department, ensuring adherence to IOM's regulations, rules, and procedures. This role supports the overall ICT strategy by facilitating the acquisition of necessary goods and services. By working collaboratively with project managers and business units, the associate ensures that procurement processes are efficient and compliant, contributing to the successful delivery of ICT projects and the organization's mission to provide services and advice to governments and migrants.
Responsibilities
Assist in coordinating ICT procurement activities, including reviewing requisitions, organizing bidding, supporting evaluations, and managing purchase orders through to payment. Conduct end-to-end procurement processes, from preparing RFx documents to verifying goods and invoices. Provide guidance to staff on procurement procedures and documentation. Support market research and vendor management by identifying and evaluating suppliers based on key criteria. Track and update the Department’s Procurement Plan throughout the procurement-to-pay cycle. Facilitate timely payments by supporting payment processes and liaising with vendors. Ensure compliance with IOM procurement policies, maintain accurate records, and support audit requirements. Prepare procurement reports and status updates for management. Identify and escalate procurement-related issues to the supervisor.
Work Experience
Requires demonstrated experience with advanced Microsoft Office applications and Enterprise Resource Planning (ERP) systems. Proven experience in public sector procurement and logistics, particularly within international organizations like the UN, is essential. Experience with accounting systems, software, and financial procedures is also required.
Skills
Ability to prepare clear and concise reports. Strong administrative coordination skills. Proven oral and written communication skills. Proven analytical and report-writing skills. Fluency in English (oral and written) is required. Working knowledge of French and/or Spanish is an advantage.
