Job Purpose
This Supply Chain Associate role, reporting to the Head of Resource Management and directly to the Supply Chain Officer, is crucial for supporting the implementation of supply chain activities within the mission in Bangui, Central African Republic. The position contributes to the effective functioning of procurement, logistics, asset management, warehousing, transport, and fleet management operations. By ensuring adherence to IOM's policies, rules, and procedures, the role directly supports the organization's mandate to provide essential services and assistance to those in need, ensuring the timely and efficient delivery of goods and services required for IOM's operations and humanitarian efforts.
Responsibilities
The Supply Chain Associate is responsible for managing procurement requests from receipt to consolidation, ensuring compliance with authorization matrices and office instructions. This includes preparing tender documents, soliciting bids, and assisting with complex or high-value purchases. The role involves tracking open requests, coordinating timely delivery of goods and services, and obtaining reception confirmations. Additionally, the associate will review supplier invoices, prepare payment requests, and liaise with the finance unit for timely settlements. Maintaining accurate physical and electronic procurement records, conducting market research for new suppliers, and monitoring active contracts are key duties. The position also supports asset and inventory management, fleet coordination, and provides guidance to junior supply chain staff.
Work Experience
Required experience includes procurement, logistics, and supplier/service provider relations, as well as asset management processes. Experience with IOM or UN procurement and logistics rules and procedures, and working within an international organization, are considered advantageous.
Skills
Proficiency in computer applications, ability to work with national and international institutions, clear and concise report writing, excellent communication and negotiation skills, and the capacity to realistically determine resource needs.
