The role serves as a critical senior technical focal point, ensuring that IM practices align seamlessly with institutional policies, program requirements, and donor expectations. This involves integrating, standardizing, and securely managing data systems across the organization. The incumbent will provide essential technical inputs to senior management and program teams, guiding IM strategy, system architecture, and operational optimization. Furthermore, the role contributes to operational IM delivery in specific program areas, providing technical guidance and oversight to ensure coherence between mission-level IM frameworks and their program-level implementation. This position is vital for strengthening data integrity, facilitating evidence-based decision-making, and improving overall program delivery and accountability within IOM Poland.
Responsibilities
The Senior Information Management Associate is responsible for designing, implementing, and continuously improving mission-wide IM systems and governance frameworks, including developing data standards, architectures, and interoperability approaches. The role serves as a senior technical focal point, offering guidance and inputs to senior management and program teams, and providing functional support to IM focal points across programs. Key duties involve integrating IM systems to enhance program delivery, donor reporting, and accountability, alongside establishing and monitoring data quality assurance and validation mechanisms. The incumbent will promote compliance with IOM Data Protection Principles and GDPR requirements, implementing risk mitigation measures. Furthermore, responsibilities include developing IM tools such as databases, dashboards, and automation solutions, and contributing to analytical outputs for evidence-based decision-making. The role also entails institutionalizing IM Standard Operating Procedures (SOPs) and guidance documents, designing and delivering capacity-building initiatives, and participating in IM-related coordination mechanisms. Finally, the Associate will identify opportunities for innovation, digital transformation, and efficiency improvements, including leveraging Artificial Intelligence (AI) tools.
Work Experience
Candidates must have demonstrated experience coordinating or supporting Information Management (IM) systems across multiple programs or organizational units. This includes experience in database development, data analysis, and visualization. Proven ability to provide technical guidance to non-technical stakeholders is essential. Experience contributing to data governance frameworks, Standard Operating Procedures (SOPs), and compliance mechanisms is required, along with practical experience working with data protection standards and regulatory frameworks such as GDPR.
