Human Resources Assistant
Organizational Context
The International Organization for Migration (IOM), a UN-related organization established in 1951, promotes humane and orderly migration. The IOM Mission in the Netherlands, based in The Hague, works with governmental and non-governmental partners. This Human Resources Assistant role supports the HR functions within the mission, reporting to the Senior HR Associate and Resources Management Officer.
Job Purpose
The Human Resources Assistant plays a crucial role in supporting the Human Resources functions within the IOM Mission in the Netherlands. This position is integral to ensuring the smooth operation of HR processes, contributing to the mission's ability to provide services and advice related to migration. By assisting with recruitment, pre-employment activities, data management, and administrative support, the role directly impacts the efficiency and effectiveness of the HR department. The assistant's work helps maintain accurate records, supports staff administration, and facilitates the overall objective of promoting humane and orderly migration by ensuring the mission's personnel needs are met efficiently and in compliance with IOM standards.
Responsibilities
The Human Resources Assistant is responsible for comprehensive support of HR processes. This includes managing recruitment activities such as posting vacancies, screening applications, scheduling interviews, and conducting reference checks. The role also involves handling pre-employment procedures, including preparing documentation, coordinating medical examinations, and facilitating staff onboarding. Maintaining accurate HR data in organizational systems, monitoring contractual status, and generating reports are key duties. Additionally, the assistant will manage timekeeping and leave administration, support separation and promotion processes, and maintain both electronic and physical HR filing systems. Drafting employment certificates, notices, and other HR-related documents, as well as assisting with the logistics for HR events and responding to general HR inquiries, are also part of the role.
Work Experience
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential. Prior experience with Oracle is advantageous. The role requires attention to detail, methodical organization of paperwork, discretion, and a client-oriented approach. Experience working with international humanitarian organizations or governmental institutions in a multicultural setting is considered an asset.
Skills
Strong organizational, coordination, and communication skills. Understanding of HR policies, rules, and procedures, including recruitment and staff administration. Computer literacy, particularly MS Office applications. Knowledge of internal IOM systems like Oracle is a plus.
