Organizational Context
The International Organization for Migration (IOM), established in 1951, is a leading UN agency promoting humane and orderly migration. The Finance Assistant role is based in Juba, supporting finance and administrative functions within resource management under the supervision of the Resources Management Officer and Senior Finance Associate.
Job Purpose
The Finance Assistant will provide essential support to the finance and administrative functions related to resource management in Juba. This role is crucial for ensuring the smooth operation of financial processes within the organization. The incumbent will assist in managing financial data, processing payments, verifying transactions, and supporting financial reporting. By ensuring accuracy and adherence to IOM's financial policies and regulations, the Finance Assistant contributes directly to the organization's ability to effectively manage its resources and deliver on its mandate of promoting humane and orderly migration. This position plays a key part in maintaining financial integrity and supporting the overall mission of IOM in South Sudan.
Responsibilities
Key duties include extracting and inputting financial data into systems, responding to financial queries, and reviewing payment requests for authorization and supporting documentation. The role involves verifying vendor requests for accuracy and compliance with IOM policies, and performing claim verifications to ensure proper authorization and receipt of goods/services. The Finance Assistant will prepare receipts, memos, and billings, and assist in generating budget, accounting, and financial reports. Additionally, the position supports the review of implementing partners’ financial reports and vouchers, provides assistance with staff services like travel and expense claims, and maintains systematic filing of accounting documents. Other related duties as assigned are also part of the responsibilities.
Work Experience
Required experience includes administrative, financial, and accounting matters, with a focus on cash management. Previous experience with SAP & Oracle systems is a significant advantage. Prior work experience within international humanitarian organizations, non-governmental organizations, or government institutions in a multicultural setting is also beneficial.
Skills
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook, Email) is essential. Knowledge of financial rules and regulations is required. Key competencies include attention to detail, methodical organization of paperwork, discretion, a client-oriented approach, patience, and a willingness to learn.
