The Immigration, Border and Governance (IBG) unit specifically strengthens migration and border management systems. This Project Assistant role is within the IBG unit in Jakarta.
Job Purpose
The Project Assistant (IBG) in Jakarta will provide essential day-to-day operational and administrative support for the implementation of Immigration and Border Governance (IBG) programmes. This role is crucial for ensuring the effective execution of project components, including trainings, workshops, and community outreach initiatives. The position contributes to strengthening policy, legislation, and operational systems for migration and border management, aligning with IOM's commitment to facilitating safe, orderly, and regular migration. The assistant will support project activities, liaise with stakeholders, assist in material development, and contribute to monitoring and reporting, all under the supervision of the Senior Project Associate and Programme Manager.
Responsibilities
The Project Assistant will provide operational support for IBG projects, including trainings and workshops, and assist in liaising with government counterparts and other actors. Responsibilities include supporting the development of training modules and awareness materials, providing regular updates on progress and challenges, and assisting in monitoring activities with recommendations for risk mitigation. The role involves maintaining up-to-date project files, drafting correspondence and meeting minutes, and undertaking in-country travel as needed. Additionally, the assistant will support the preparation of work plans, concept notes, reports for donors, and participate in meetings with various stakeholders to coordinate implementation activities related to immigration and border governance.
Work Experience
Requires a university degree with at least two years of relevant professional experience, or a high school diploma with at least four years of relevant work experience. Experience in areas related to Political/Social Sciences, Law, Management, or International Relations is relevant.
Skills
Attention to detail, ability to manage workload, capacity to work in multicultural environments, report writing, data analysis, high computer literacy (databases, spreadsheets), and strong written and oral communication skills in English and Indonesian.
