Organizational Context
IOM is a UN-related organization and a leading agency in migration, promoting humane and orderly migration. This role, under the direct supervision of the Senior Migrant Protection Associate and overall supervision by the Head of Programmes IOM Kenya, supports the daily implementation of activities within the Labour Mobility and Human Development projects division in IOM Kenya Office.
Job Purpose
The purpose of this role is to ensure the smooth and effective execution of Labour Mobility and Human Development projects by providing comprehensive administrative, logistical, and programmatic support. This position contributes significantly to the operational efficiency of the Migration Protection Assistance Unit, facilitating project coordination with stakeholders, accurate documentation, and timely reporting. By managing day-to-day tasks, the incumbent enables project teams to focus on strategic objectives, ensuring that project activities are implemented in line with IOM's mandate to promote humane and orderly migration and protect people on the move. The role is crucial for maintaining project momentum, supporting effective resource utilization, and ensuring compliance with organizational and donor requirements, thereby directly impacting the successful delivery of migration protection and assistance initiatives in Kenya.
Responsibilities
The incumbent will primarily support the administrative and operational aspects of Labour Mobility and Human Development (LHD) and Migration Protection Assistance (MPA) projects. This includes coordinating procurement documentation, processing, and travel arrangements for non-IOM actors. The role involves organizing regular project meetings with key stakeholders, such as government counterparts and private employment agencies, and actively participating in MPA meetings. Key duties also encompass drafting clear and concise official letters, meeting minutes, and activity reports, alongside compiling and presenting project-related data for various publications. The associate will provide essential support in completing Purchase Requisitions, securing vendor quotations, and managing finance-related paperwork. Maintaining comprehensive project files, documents, equipment, and databases is crucial. Furthermore, the position entails coordinating logistics and providing administrative support for regional and national meetings, workshops, seminars, trainings, and conferences. The incumbent will draft Letters of Invitation for non-IOM actors, assist with case management administrative requirements like exit permits and payment requests, and support the preparation of activity, project, and donor reports. Duty travel may be required to facilitate project activities.
Work Experience
A minimum of three years of experience in project handling, case management, and administrative or logistical issues is required. Experience working with government and UN stakeholders on migrant protection is essential. Prior experience within UN agencies is considered an asset. Strong interpersonal skills, the ability to work effectively in a team, and good drafting skills are also necessary.
