Job Purpose
This role supports the National Supply Chain Officer and Supply Chain Associate in Ankara. The incumbent is responsible for managing various aspects of the supply chain, including procurement, logistics, and asset management. The position contributes to the efficient and effective delivery of IOM's operational support by ensuring timely procurement of goods and services, maintaining accurate records, and coordinating with vendors and internal departments. The role plays a crucial part in upholding IOM's operational integrity and supporting its mission to assist migrants and displaced persons.
Responsibilities
The Supply Chain Assistant will manage the procurement process from requisition to payment, including receiving and consolidating requisitions, preparing tender documents, soliciting bids, and conducting bid analysis. Responsibilities include confirming terms with selected suppliers, preparing purchase orders, and coordinating authorizations. The role involves monitoring delivery status, obtaining delivery notes, and reviewing vendor invoices for timely payment. Maintaining physical and electronic records, conducting market surveys to identify and evaluate new suppliers, and tracking contractual agreements are also key duties. Additionally, the position will perform supply chain tasks related to property and asset management, warehousing, transportation coordination, and monitoring contractor activities. Support for meetings, workshops, and other assigned duties are also part of the role.
Work Experience
Required experience includes procurement and logistics, working with vendors and service providers, and asset management processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures, and working in an international organization, are considered advantageous.
Skills
High level of computer literacy; ability to work with national and international institutions; ability to prepare clear and concise reports; excellent communication and negotiation skills; ability to establish realistic resource requirements.
