Operations Assistant
Organizational Context
The International Organization for Migration (IOM), established in 1951, is a UN-related agency focused on promoting humane and orderly migration. It works with governments and partners to save lives, protect migrants, and facilitate regular migration pathways. This role operates within IOM Ireland, under the Chief of Mission, and contributes to the organization's mission by supporting migration operations.
Job Purpose
This role is responsible for supervising all movement operations activities within Ireland. The purpose is to ensure the efficient and effective coordination, scheduling, and booking of travel for individuals, adhering strictly to IOM's policies, procedures, and standards. The position contributes to the seamless execution of migration support services by managing all logistical aspects of movement, including documentation, data management, and pre-departure counseling, ensuring the well-being and orderly transit of migrants.
Responsibilities
Coordinate and schedule all travel arrangements, including booking flights and managing notifications, in compliance with IOM's Handbook of Tariffs (HIT) and Standard Operating Procedures (SOPs). Organize and complete bookings in a timely manner, distributing travel information to stakeholders. Compile and analyze statistical data using I-GATOR for cost tracking and prepare travel loan paperwork. Create and maintain movement data files for accountability. Identify and assign escorts for vulnerable individuals, process exit permission and travel documents, and conduct identity and document verification. Provide pre-departure counseling on travel procedures and special needs, identifying and addressing beneficiary vulnerabilities. Maintain confidentiality and integrity of all documentation, alerting management to any non-compliance with SOPs or codes of conduct. Demonstrate a thorough understanding of Movement Operations SOPs and relevant systems, maintaining professionalism and impartiality.
Work Experience
Prior experience in Movement Operations, transportation, or management is advantageous. Experience working with international humanitarian organizations, NGOs, or government institutions in a multicultural setting is beneficial. Experience with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups is also desirable.
Skills
Advanced communication skills. Strong proficiency in Microsoft Word, Excel, and Internet usage. Experience with Movement Operations databases and systems (e.g., iGATOR, MiMOSA, SAR, Amadeus) is a distinct advantage. Good administrative, reporting, and organizational skills.
