Project Assistant (resettlement & Integration)
Organizational Context
The IOM's Migrant Training activities, under the MRLP Division, support migrant integration. In IOM Norway, the Resettlement and Integration Unit implements activities for quota refugee resettlement, family reunification, and migrant integration, notably through the Norwegian Cultural Orientation (NORCO) programme, in coordination with the Government of Norway. This Project Assistant role is supervised by the Programme Coordinator and Senior Programme Associate (Integration).
Job Purpose
The Project Assistant (Resettlement & Integration) contributes to the successful implementation of IOM Norway's activities supporting quota refugee resettlement, family reunification, and the broader integration of refugees and migrants. This role is crucial in assisting the Resettlement and Integration Unit, particularly with initiatives under the quota refugee resettlement programme and the Norwegian Cultural Orientation (NORCO) programme. The assistant ensures effective administrative coordination, data management, and logistical support for project activities, facilitating the smooth delivery of services to beneficiaries. By monitoring budgets, drafting reports, and organizing key events, the role directly supports the unit's mandate to equip migrants with essential knowledge and skills for successful integration and self-sufficiency in Norway. This position plays a vital part in maintaining close coordination with the Government of Norway and other partner organizations, ensuring that project objectives are met efficiently and effectively, thereby enhancing the overall impact of IOM's integration efforts.
Responsibilities
The Project Assistant will primarily assist in the implementation and monitoring of resettlement and integration project activities, ensuring effective delivery of services. This includes retrieving, compiling, summarizing, and presenting information and data on specific project topics related to resettlement, beneficiary assistance, and integration support. The role involves monitoring project budgets, verifying fund availability, obtaining necessary approvals, and updating budget-related information to ensure financial oversight.
Administrative coordination is a key duty, requiring liaison with various organizational units and external parties. This involves initiating requests, obtaining necessary clearances, processing and following up on administrative actions, and facilitating beneficiary support and integration-related services as required. The assistant will draft various documents, including status reports that identify shortfalls in delivery, correspondence, reports, briefing notes, graphics, statistical tables, and presentations, encompassing documentation related to project beneficiaries and integration activities.
Furthermore, responsibilities include organizing meetings, workshops, and training sessions, specifically supporting beneficiary orientation, integration, and information-sharing efforts. The assistant will also respond to general information requests and inquiries, and set up and maintain comprehensive files and records, including beneficiary files and all project-related documentation. Occasional duty travel may be required to support project activities.
Work Experience
Required experience includes liaising with governmental authorities, national/international institutions, UN agencies, and NGOs. Candidates must also have experience working with migrants, refugees, internally displaced persons, victims of trafficking, and other vulnerable groups. Prior work experience with international organizations, non-government, or government institutions in a multi-cultural setting is considered a distinct advantage.
Skills
Computer/software literate, proficient in Microsoft Office. Strong interpersonal and communication skills. Excellent organizational skills, capable of managing multiple tasks under time constraints. Accurate and detail-oriented. Fluency in English (oral and written) is required. Working knowledge of Norwegian is a distinct advantage.
