Organizational Context

This role supports the Deputy Director General for Operations (DDG-O), who oversees five key departments and provides strategic leadership for IOM's global operational portfolio.
Job Purpose
The Coordination and Support Officer (Operations) provides crucial strategic, technical, analytical, and organizational support to the Deputy Director General for Operations (DDG-O) and the broader Operations Pillar. This role is instrumental in ensuring the effective functioning and cohesion of IOM's global operational activities. The officer will assist the DDG-O in coordinating with various departments, divisions, and regional offices, and will also support the Deputy Regional Director (Operations) on specific tasks. The position contributes to informed decision-making by synthesizing operational data, identifying trends, and monitoring progress across IOM's diverse operational landscape.
Responsibilities
Key responsibilities include coordinating and facilitating communication between the DDG-O, Special Advisor, and various IOM offices, departments, and units to ensure cohesive operations. This involves staying updated on workplans and initiatives, preparing for the DDG-O's participation in events, and coordinating with the Executive Office. The role also entails gathering and consolidating operational updates, supporting data analysis and reporting on risks and trends, and preparing briefing materials. Monitoring task implementation and ensuring accountability across teams and regions is vital. Furthermore, the officer will manage coordination tools, maintain records of decisions, and contribute to knowledge management within the Operations Pillar.
Work Experience
Required experience includes support and coordination in a fast-paced environment, agenda setting, high-level presentations, and document review. Considerable experience in policy, strategy, and workplan development for multiple stakeholders, including interdepartmental coordination, is essential. Experience in policy development, research, and resource/administrative management is advantageous.
Skills
Essential skills include excellent liaison and communication abilities, strong writing and presentation skills, and exceptional organizational skills with the ability to manage multiple work streams. Demonstrated strategic and creative thinking, a commitment to results and efficiency, and the capacity to work effectively with diverse colleagues are crucial.
