Organizational Context
The International Organization for Migration (IOM), established in 1951, is a leading UN agency dedicated to promoting humane and orderly migration. It works with partners to save lives, protect migrants, address displacement, and facilitate legal migration pathways. This role provides administrative and financial management support within the Mobility Pathways and Inclusion (MPI) Division.
Job Purpose
This role is crucial for providing essential administrative and financial management support to various programs within the Mobility Pathways and Inclusion (MPI) Division. The incumbent will ensure the smooth operation of projects by managing administrative tasks, coordinating contracts, and monitoring financial aspects. By supporting project officers and liaising with various units, this position directly contributes to the effective implementation of IOM's mandate to promote humane and orderly migration, protect people on the move, and drive solutions to displacement. The role ensures that program activities are supported efficiently and in compliance with donor agreements and organizational standards, thereby strengthening IOM's overall impact.
Responsibilities
Key responsibilities include serving as the primary focal point for organizing conferences, trainings, workshops, and events, ensuring logistical and financial requirements are met. The role involves coordinating and following up on IOM and third-party contracts, and monitoring consultant payments. It also entails supporting the Head of MPI in monitoring financial aspects of projects, including expenditure, fund availability, and cash flow. Maintaining organized project files and documents, and collaborating with Supply Chain and Procurement units to assess budget impacts are essential. The position supports MPI Project Officers in cash flow forecasting and ensuring adherence to donor agreements, while also identifying and resolving project implementation bottlenecks. Monitoring projectization, tracking commitments and expenditures against budgets, and supporting program staff with procurement and access facilitation are also key duties. Effective information sharing, coordination, and communication within the team and with management are required.
Work Experience
Previous experience in logistics, administration, or protection programming is advantageous. Experience working with diverse cultural backgrounds, government authorities, and humanitarian actors is beneficial. Strong computer literacy, particularly with Microsoft applications, is required. Candidates should be detail-oriented, reliable, efficient, possess strong organizational skills, and be able to work under pressure with strict deadlines.
