Job Purpose
This role is crucial for supporting the Human Resources Administration functions and transactions within the IOM Country Office in Greece. The incumbent will ensure the smooth and compliant execution of HR processes, from pre-employment activities through to staff separation. By accurately managing HR data, coordinating onboarding and entitlements, and maintaining HR records, the position directly contributes to the effective functioning of the HR unit and supports IOM's mission. The role ensures that HR operations align with IOM regulations and procedures, facilitating a supportive and efficient work environment for all staff members, thereby enabling the organization to better manage migration and support individuals on the move.
Responsibilities
The Human Resources Administrator is responsible for coordinating and executing a range of HR actions in compliance with IOM processes. This includes managing pre-employment activities, entry formalities, onboarding, benefits, and separations. The role involves accurate data entry and maintenance in the HR system (WAVE), monitoring contractual status, and generating reports. Specific duties include preparing onboarding documentation, coordinating medical exams, managing timekeeping, and supporting separation and promotion processes. Additionally, the administrator will maintain electronic and physical HR archives, draft HR-related documents such as certificates and letters, and provide information to staff regarding their entitlements and responsibilities, referring complex inquiries as needed.
Work Experience
The role requires previous experience in a similar HR administration position, with a strong understanding of general HR processes and procedures. Experience with local labor law and national social security schemes is essential. Hands-on experience with the WAVE HR system is preferred. Prior experience in international humanitarian organizations or similar institutions in a multicultural setting is advantageous.

Proficiency in clear and concise oral and written communication. Ability to manage multiple tasks and prioritize effectively. Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Good analytical skills and strong attention to detail. Ability to organize paperwork methodically.
