Organizational Context
The International Organization for Migration (IOM), established in 1951, is a UN-related organization dedicated to promoting humane and orderly migration. It operates globally, collaborating with various partners to save lives, protect migrants, and facilitate pathways for regular migration. This internship is within the IOM Armenia office, supporting the Canada Visa Application Centre (CVAC) in Yerevan.
Job Purpose
This internship aims to provide practical experience in administrative and operational processes within a visa application centre. The intern will support the Canada Visa Application Centre (CVAC) in Yerevan, Armenia, under the supervision of the CVAC Team Leader and the Head of Office. The role involves delivering client services in compliance with IRCC standards, assisting applicants with information and documentation, supporting data entry and verification, and contributing to daily reporting. The internship is designed to enhance the intern's understanding of IOM's mandate, visa processing procedures, and administrative skills in a multicultural environment, while upholding IOM's policies on conduct and data protection.
Responsibilities
Provide direct client services to visa applicants, adhering strictly to Immigration, Refugees and Citizenship Canada (IRCC) contractual obligations and service standards. Assist applicants by distributing forms, providing accurate information via phone, email, and in-person, and managing reception queues. Support the collection and sorting of visa applications, verifying the completeness and correctness of forms and supporting documents. Assist with data entry into the application management software, performing basic accuracy checks and document tracking. Contribute to the preparation of daily reports and quality checks of applications and fees. Facilitate the sorting and secure return of applications and passports to applicants and couriers. Ensure strict compliance with all IOM policies, including those on conduct, respectful working environment, and data protection.
Work Experience
Previous experience in migrant-related programs or visa services is advantageous. Experience in customer service is also considered a plus.
Skills
Excellent computer skills, including MS Office applications. Strong written and verbal communication skills in English. Excellent organizational skills with the ability to multitask and prioritize. Ability to work effectively in a multicultural team environment. Proven ability to produce accurate and consistent work within deadlines.
