Organizational Context
The Occupational Health Unit (OHU) Global Shared Services Centre, under the direct supervision of its Global Shared Services Centre, operates in close coordination with the Senior Administrative Officer. This role also consults with the Chief of OHU in Geneva and the Director of Global Shared Services.
Job Purpose
This internship aims to develop proficiency in the EarthMed Occupational Health System (OHS) and Wave. The intern will support daily OHU operations, focusing on processing medical records, managing staff health documentation, and contributing to occupational health workflows. Key learning outcomes include mastering EarthMed for documentation and workflow support, understanding the end-to-end certified sick leave management process, applying administrative and organizational skills in a medical support setting, and upholding strict confidentiality and professionalism when handling sensitive health information. The intern will also gain experience in navigating specific modules within EarthMed for vaccinations and travel duty clearances.
Responsibilities
Learn to effectively use EarthMed and Wave by supporting daily OHU operations, aiming for proficiency in processing medical records, managing staff health documentation, and contributing to occupational health workflows. Support the processing of Certified Sick Leave (CSL) requests, ensuring accurate documentation and timely updates in EarthMed and WAVE. Assist in reviewing, validating, and processing sick leave certificates according to OHU procedures and IN 151 rev. 3, maintaining strict medical confidentiality and coordinating with relevant units. Assist in uploading current vaccinations for staff candidates and those assigned to Travel Duty Assignments. Upon completion, demonstrate proficiency in EarthMed, understand sick leave management, apply administrative skills in a medical setting, and uphold confidentiality.
Work Experience
Prior internship or volunteer experience in an administrative, HR, or healthcare-related setting is preferred but not required. Familiarity with document handling, data entry, or basic health records management is beneficial. Experience supporting occupational health or HR initiatives is considered an advantage.
Skills
Proficiency in EarthMed (Occupational Health System) and Wave. Strong attention to detail and organizational skills. Ability to maintain confidentiality and handle sensitive health information. Good communication and interpersonal skills. Collaborative and proactive work ethic. Fluency in English (written and oral).
