Organizational Context
Established in 1951, the International Organization for Migration (IOM) is a leading inter-governmental organization promoting humane and orderly migration. It provides services and advice to governments and migrants globally. This role, based in Banjul, The Gambia, operates under the direct supervision of the Supply Chain Associate and in close coordination with relevant units, managing resource management functions in line with IOM policies.
Job Purpose
The Supply Chain Assistant is responsible for managing resource management functions within The Gambia, ensuring compliance with IOM policies, standards, and commitments. This role supports the overall operations by overseeing procurement, logistics, and asset management processes. The incumbent will work under the direct supervision of the Supply Chain Associate and in coordination with various IOM units, contributing to the efficient and effective delivery of services. The position plays a crucial part in maintaining the integrity and functionality of the supply chain, ensuring that resources are managed appropriately to support IOM's mission of promoting humane and orderly migration.
Responsibilities
The Supply Chain Assistant is responsible for managing procurement requisitions, verifying compliance, and preparing tender documents. This includes soliciting bids, preparing bid analysis summaries, and confirming terms of agreement with selected suppliers. The role involves preparing purchase orders and contracts, monitoring the timely delivery of goods and services, and coordinating with receiving units. Responsibilities also include reviewing vendor invoices, preparing payment requests, and coordinating timely payments. Maintaining physical and electronic records of procurement documentation, conducting market surveys to identify and evaluate potential suppliers, and tracking contractual agreements for timely renewal are key duties. Additionally, the assistant will manage office supplies, monitor utilities payments, provide technical guidance on procurement procedures, and perform supply chain tasks related to property, asset management, warehousing, insurance, maintenance, and transportation. This includes verifying logbooks, monitoring fuel consumption, and vehicle maintenance records, as well as supporting meeting organization and other assigned duties.
Work Experience
Required experience includes procurement and logistics, working with vendors and service providers, and managing asset processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures, and working in an international organization, are considered advantageous.
Skills
Proficiency in computer literacy is essential. The role requires the ability to work effectively with national and international institutions, prepare clear and concise reports, and demonstrate excellent communication and negotiation skills. The ability to establish realistic resource requirements to meet IOM needs is also a key competency.
