Job Purpose
The Project Assistant supports the implementation and monitoring of IOM Ecuador's projects, contributing to the organization's mission of promoting humane and orderly migration. This role involves retrieving, compiling, and presenting project-related information, monitoring budgets, and ensuring administrative coordination. The incumbent will draft reports, correspondence, and other documentation, organize meetings and training sessions, and respond to information requests. By managing administrative tasks and supporting project activities, the role directly contributes to the effective delivery of IOM's assistance programs for migrants, refugees, and host communities in Ecuador, aligning with the country's strategy for inclusive development and migrant rights.
Responsibilities
Assist in the implementation and monitoring of project activities, ensuring timely execution and adherence to project plans. Retrieve, compile, summarize, and present information and data on specific project topics to support decision-making. Monitor project budgets, verify fund availability, obtain necessary approvals, and update budget-related information. Provide administrative support for project implementation, liaising with internal units and external parties to process requests and follow up on actions. Draft status reports, identifying delivery shortfalls and escalating them to the supervisor. Prepare correspondence, reports, briefing notes, and other project documentation. Organize and coordinate meetings, workshops, and training sessions. Respond to general information inquiries and maintain project files and records. Perform other related duties as assigned to support project objectives.
Work Experience
Experience in liaising with governmental authorities, international institutions, UN agencies, and NGOs. Experience working with vulnerable groups such as migrants, refugees, and victims of trafficking. Prior experience in a multicultural setting with international humanitarian organizations or government institutions is advantageous.
Skills
Proficiency in IT tools including Word, Excel, and PowerPoint for report and presentation preparation. Strong interpersonal and communication skills for effective interaction with colleagues, counterparts, and partners.
