Organizational Context
The Coastal States Stability Mechanism (CSSM) is a small-grants programme in northern Ghana, Benin, and Togo, funded by international donors and implemented by IOM. Job Purpose
The Supply Chain Assistant will support the CSSM programme in Ghana by ensuring efficient and effective procurement and logistics operations. This role is crucial for the timely delivery of goods and services necessary for programme activities, contributing to the overall objective of strengthening local state presence and enhancing stability in strategic regions. The assistant will work under the direct supervision of the Supply Chain Officer, coordinating procurement plans and ensuring compliance with organizational requirements and donor stipulations.
Responsibilities
The Supply Chain Assistant is responsible for identifying and evaluating local service providers based on quality, price, and delivery. They will liaise with intergovernmental and non-governmental agencies to leverage procurement networks and coordinate with the Supply Chain Officer on procurement and logistics planning. Key duties include preparing Purchase Orders, confirming payment and delivery terms, ensuring appropriate authorization, and following up on order status. The role also involves tracking service provision, assisting with asset inventory, maintaining procurement filing systems, managing voucher inventory, and facilitating the clearance of international orders and staff movements.
Work Experience
Experience in supply chain management is preferred, with one year in IOM, UN, or another international organization being advantageous. Experience with procurement in international and government processes is required. Proficiency in the WAVE system and MS Office applications (Word, Excel) is necessary; knowledge of PowerPoint and Visio is a plus.
