Job Purpose
The Senior Programme Associate, USRAP, plays a crucial role in supporting the United States Refugee Admissions Program (USRAP) operations managed by IOM Washington. This position contributes to the effective planning, coordination, and implementation of program activities, ensuring smooth administrative, procurement, and programmatic functions. The role involves extensive liaison with internal teams, external partners, and government officials to facilitate refugee resettlement processes. By providing essential communication, technical, and logistical support, the Associate ensures that USRAP activities are conducted efficiently and in compliance with IOM and donor requirements, ultimately supporting IOM's mission to assist vulnerable populations on the move.
Responsibilities
The Senior Programme Associate, USRAP, will assist in planning, coordinating, and monitoring program activities, liaising with global staff, Movement Operations, HR, and Finance teams on administrative, procurement, and programmatic matters. Responsibilities include providing communication and technical support to management, drafting correspondence, reports, and presentations for government officials, embassies, and other stakeholders. The role involves facilitating knowledge management through SharePoint sites and SOPs, organizing USRAP activities, scheduling appointments, and managing duty travel. Additionally, the Associate will coordinate with administrative units to ensure adherence to job architectures, assist in recruitment and onboarding processes, and organize special events, workshops, and conferences. Data compilation, summarization, and analysis for program status reports, identifying shortfalls, and suggesting corrective measures are also key duties. The role requires undertaking duty travel, assisting in representing USRAP, and supporting Monitoring and Evaluation activities.
Work Experience
Prior experience with the USRAP is strongly preferred. Experience working with international humanitarian organizations, non-government or government institutions in a multicultural setting is advantageous. Experience in liaising with governmental authorities, UN agencies, and NGOs, and experience working with vulnerable groups such as migrants and refugees are also beneficial.
Skills
Proficiency in Microsoft Office Suite. Strong coordination skills for diverse, multi-stakeholder environments. Knowledge of project implementation and familiarity with financial, HR, and administrative procedures. Attention to detail and organizational skills. Good communication, organizational, and interpersonal relationship skills. Self-motivated with the ability to work under pressure with minimal supervision. Troubleshooting skills.
