Job Purpose
This role is responsible for assisting in the management of the Human Resources and Resource Management functions within the IOM Country Office in Dublin, Ireland. Working under the direct supervision of the Senior HR Associate and overall guidance of the Chief of Mission, the position supports the effective delivery of HR services. The Associate will collaborate with various IOM units at Headquarters and Administrative Centres to ensure HR operations align with organizational policies and objectives. The core purpose is to contribute to a well-managed and supportive work environment that enables IOM to harness the full potential of migration while ensuring staff can thrive professionally.
Responsibilities
The Human Resources Associate will coordinate recruitment processes, including drafting vacancy notices, screening applications, and preparing job offers. They will manage pre-employment activities, such as onboarding documentation, medical clearances, and induction sessions. The role involves performing HR actions in the HR system, ensuring data accuracy, and maintaining personnel records. Responsibilities include managing timekeeping and leave administration, processing separation and other HR-related documentation, and preparing personnel reports. The Associate will also maintain HR archives, monitor compliance with the Staff Evaluation System, and organize HR events. Additionally, they will provide guidance to staff on entitlements, assist in identifying areas for improvement, and offer training to junior staff.
Work Experience
Required experience includes proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Previous experience with Oracle is advantageous. The role requires strong attention to detail and the ability to organize paperwork methodically. Prior experience in a multicultural setting with international humanitarian organizations or governmental institutions is considered an advantage.
