Job Purpose
The Resources Management Associate plays a crucial role in supporting the ICT Department's project management by assisting with various resources management functions. This includes providing administrative and financial support, processing transactions, maintaining financial records, and assisting with budget monitoring and reporting. The role ensures that project activities are managed efficiently and in compliance with IOM's policies and procedures. By supporting financial, procurement, and HR activities, the Associate contributes to the smooth operation of ICT projects and the overall mission of IOM in facilitating humane and orderly migration.
Responsibilities
Provide comprehensive support for financial, procurement, and human resources activities within the ICT Business Administration, adhering to IOM policies and procedures. Process and reconcile financial transactions and payments promptly. Maintain accurate financial records using the IOM Enterprise Resource Planning (ERP) System. Assist in monitoring project budgets against actual expenditures and support monthly account closures. Aid in preparing budgets, accounting, financial, statistical, and donor reports. Facilitate procurement processes, including obtaining quotations, preparing evaluations, issuing purchase orders, and ensuring timely delivery of goods/services. Manage invoicing processes, vendor follow-ups, and invoice verification. Maintain organized filing systems for electronic and physical records. Serve as a primary contact for accounting and financial policy guidance. Act as the focal point for the ICT vendor portfolio, consolidating data and preparing summary reports for financial monitoring.
Work Experience
Requires experience in financial and administrative support, including financial processing, monitoring, and budgeting. Experience in procurement and general administrative support is necessary. Proficiency with an Enterprise Resource Planning (ERP) system is essential. Experience working within an international organization is advantageous.
Skills
High level of computer literacy. Ability to work effectively with national and international institutions. Skill in preparing clear and concise reports. Demonstrated ability to apply sound judgment. Knowledge of International Public Sector Accounting Standards (IPSAS) is advantageous. Oracle system knowledge is highly desirable. Fluency in English is required; working knowledge of another official UN language is an advantage.
