Job Purpose
This role is crucial for supporting the Supply Chain and Procurement and Logistics functions within IOM Accra, Ghana. The incumbent will contribute to the efficient and effective management of resources, ensuring that goods and services are procured and delivered in a timely and compliant manner. By managing procurement processes, maintaining records, and facilitating payments, the position directly impacts IOM's operational capacity and its ability to deliver on its mandate of promoting humane and orderly migration. The role ensures that procurement activities align with IOM's standards and contribute to the overall mission objectives, supporting both internal operations and external partnerships.
Responsibilities
Key responsibilities include managing the procurement cycle from requisition to delivery. This involves receiving and consolidating requisitions, verifying compliance, and preparing tender documents. The role entails soliciting bids, preparing bid analyses, and confirming terms with selected suppliers. It also includes preparing purchase orders, obtaining authorizations, and monitoring delivery status. Additionally, the position involves reviewing vendor invoices, preparing payment requests, and coordinating timely payments. Maintaining accurate physical and electronic records, conducting market surveys to identify and evaluate new suppliers, and managing contractual agreements are also essential duties. The role further supports asset management, warehousing, transportation coordination, and monitoring contractor activities. Providing guidance on procurement procedures and assisting with meeting organization are also part of the duties.
Work Experience
Required experience includes procurement and logistics, working with vendors and service providers, and managing asset processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures is advantageous, as is experience working within an international organization.
Skills
High level of computer literacy; ability to work with national and international institutions; ability to prepare clear and concise reports; excellent communication and negotiation skills; ability to establish realistic resource requirements.
