Senior Operations Assistant (field Support)
Organizational Context
Since its inception in 1951, IOM has prioritized Movement Operations as a core mandate, facilitating the organized international movement of persons requiring migration assistance. This has led to the transport of over 15 million migrants and refugees globally. Movement Operations departments within IOM missions, coordinated by the Resettlement and Movement Management division in Geneva, manage all travel aspects for migrants and refugees.
Job Purpose
The Senior Operations Assistant (Field Support) plays a crucial role in supervising and coordinating field-based movement operations activities. This position ensures the efficient and effective management of services for migrants and refugees at various points, including airports, transit centers, and third-party facilities. The role involves leading teams, managing daily operations, coordinating logistical support, and ensuring the well-being and smooth transit of individuals. By overseeing staff, managing resources, and liaising with stakeholders, the Senior Operations Assistant directly contributes to the successful execution of IOM's mandate in providing essential migration assistance and ensuring safe and orderly travel for vulnerable populations.
Responsibilities
Supervise and coordinate field movement operations activities, leading teams of up to eight staff members in assigned areas such as airports, transit centers, or sub-offices. Manage staff development, including hiring, training, task assignment, and performance feedback. Oversee airport services, ensuring efficient processing of travel documentation, airport formalities, and support for individuals with special needs. Coordinate operations at transit centers and third-party facilities, managing the flow of individuals, tracking flight information, and ensuring a safe and secure environment. Arrange timely services for meals, snacks, and water, ensuring cultural appropriateness and quality. Coordinate pre-departure formalities, including counseling, travel loans, and luggage checks. Provide oversight during extended periods, including overnight and weekends, addressing issues promptly. Supervise transportation coordination, ensuring identity verification and readiness of individuals. Coordinate and/or provide pre-screening, orientation, and support services. Liaise with other IOM teams and external partners, including government authorities and UNHCR. Assist with financial activities as needed, such as petty cash payments. Train Field Support Team members and monitor compliance with SOPs and codes of conduct.
Work Experience
Prior experience in Movement Operations, transportation-related activities, or management is considered a strong advantage.
Skills
Strong computer skills (Word, Excel, Internet). Experience with Movement Operations-related databases and systems (e.g., iGATOR, MiMOSA, SAR, Amadeus) is advantageous.
