Job Purpose
The Project Associate role is integral to the Facilitated Migration and Vulnerable Groups Unit, directly supporting the implementation of activities focused on the safe and dignified transfer of IOM's beneficiaries. This position operates under the general coordination of the Director, Office for the Coordination of the Mediterranean and Chief of Mission in Italy and Malta, and the direct supervision of the Project Manager. The role contributes to IOM's overarching mission of promoting humane and orderly migration by providing essential services and advice to governments and migrants, ensuring that beneficiaries receive necessary support throughout their transfer processes. The incumbent's work directly impacts the well-being and smooth transition of individuals under IOM's care, aligning with the organization's commitment to harnessing the full potential of migration.
Responsibilities
The Project Associate is responsible for assisting in the facilitation of safe departures and arrivals of beneficiaries during transfers, including ground transportation and border formalities. This includes providing direct assistance at airports and border checkpoints, coordinating with IOM Missions and Headquarters for movement operations, and reporting/addressing unforeseen events like delays or cancellations. The role involves identifying and coordinating transportation providers and accommodation options, and managing procurement-related procedures. Data entry into project databases (e.g., MIMOSA) for movement activities is crucial, as is assisting the Project Manager with payment and invoice coordination. The Associate will also support travel arrangements for IOM staff and escorts, record movement costs in relevant systems (MIMOSA, ATOMS), and notify partners of booking details. General support for IOM movements and undertaking duty travel as needed are also key functions.
Work Experience
Experience in direct assistance to migrants, liaison with service providers, airport staff, and Border Police is considered an advantage. Additionally, experience using ticketing systems such as Amadeus or other Global Distribution Systems (GDS) is also beneficial for this role.
Skills
Proficiency in Word, Excel, and Internet usage. Strong verbal and written communication skills. Demonstrated flexibility and adaptability to operational needs. Effective multitasking and organizational abilities. Knowledge of IOM programmes, MIMOSA, and ATOMS is advantageous. Familiarity with Amadeus or other GDS is also a plus.
