Job Purpose
The Visa Support Assistant (KVAC) role is to provide essential administrative support for the day-to-day operations of the Korea Visa Application Centre (KVAC) in Berlin, Germany, which is operated by IOM. This position functions under the overall supervision of the IOM London UK Project Coordinator and the operational supervision of the KVAC Team Leader in Berlin. The primary objective is to ensure the efficient and effective delivery of visa-related services to applicants, contributing to IOM's mission of facilitating humane and orderly migration by supporting governmental partners in their administrative processes.
Responsibilities
Key duties include providing excellent service to visa applicants in compliance with ROK government requirements, verifying applicant identities, and offering accurate, timely information. The role involves assisting with the collection and sorting of visa applications and supporting documentation, ensuring completeness and correctness. Data entry into IOM's case management system and the ROK visa portal, generating receipts, and tracking passports are crucial. Financial responsibilities include verifying fee payments, issuing invoices, and conducting daily reconciliation of collected fees. Document verification, report preparation, and managing application and passport logistics with courier services are also key functions. The incumbent must develop expertise in all ICT solutions, report operational issues, and perform other assigned duties.
Work Experience
Experience is required in migrant-related programmes or visa-related services, customer service, and general administration. This experience is essential for effectively performing the duties of the Visa Support Assistant role.
