Job Purpose
This internship aims to attract talented students and graduates interested in migration-related fields. The intern will support the Resources Management Unit (RMU) under the supervision of the National Resource Management Officer (RMO). The primary purpose is to provide hands-on learning experience in administrative, coordination, and basic compliance processes within IOM. This role contributes to the efficient functioning of the RMU by assisting with various operational tasks, thereby supporting IOM's broader mission of promoting humane and orderly migration. The internship is designed to enhance the intern's understanding of organizational workflows and professional development in a multicultural environment.
Responsibilities
The intern will support the Resources Management Unit (RMU) by assisting with postal and correspondence processes, including registration and preparation of outgoing mail. Responsibilities include managing the central phone line, accurately recording and forwarding incoming requests, and monitoring the central mailbox for timely internal communication. The role involves supporting checks for office management forms, meeting room bookings, seating arrangements, and asset bookings, focusing on logistical and checklist-based support. Additionally, the intern will assist with filing activities, tracking contracts, and maintaining document oversight. Support will be provided for procurement documentation workflows through file organization and completeness checks. The intern will also assist with document cross-checks to ensure accuracy in administrative processes and support internal initiatives to enhance collaboration. Optional support for calendar management may be provided. Assistance with compiling and organizing supporting documentation for RMO review and supporting onboarding/offboarding activities through logistical assistance are also key duties. Finally, the intern will assist with the preparation, tracking, and administrative handling of assets and undertake other assigned administrative, coordination, or analytical tasks.
Work Experience
Experience with Microsoft Office Suite is advantageous. Some prior experience in an office environment is preferred.
