Job Purpose

Responsibilities
The Supply Chain Assistant will manage incoming procurement and supply requisitions, verifying endorsements before proceeding. Responsibilities include soliciting offers, preparing bid analyses, and assisting in the preparation of tender documents for works, services, and goods. The role involves maintaining comprehensive documentation throughout the procurement process, including Purchase Requisition Forms, Bid Analysis Summaries, Purchase Orders, and Delivery Receipts. The assistant will follow up with suppliers to ensure timely delivery, coordinate with receiving units, and obtain necessary delivery confirmations. Additionally, the role includes reviewing vendor invoices for compliance, preparing payment requests, and tracking supplier payments. The assistant will also assist in drafting and tracking contracts, updating procurement data in PRISM, recording purchased assets, and performing physical inventory verifications. Further duties include monitoring office stock needs, providing logistical support for field activities, managing utility vendor invoices, maintaining a filing system for procurement documents, and monitoring contracted vendors for services like cleaning and utilities.
Work Experience
Requires hands-on experience in international procurement and experience within a busy logistics unit. Previous experience with UN agencies, international organizations, or NGOs is considered an advantage.
Skills
Proficiency in computer applications, particularly MS Word, Excel, Outlook, and Access. Must be mature, detail-oriented, and capable of working independently under stressful conditions and tight deadlines. Demonstrated ability to maintain integrity in assigned responsibilities.
