Organizational Context
The International Organization for Migration (IOM) Global Shared Services Centre (GSSC) in Manila requires an Asset and Inventory Assistant. Job Purpose
The Asset and Inventory Assistant is responsible for providing comprehensive procurement and logistics support within the IOM Global Shared Services Centre (GSSC). This role ensures the accurate monitoring, distribution, and safeguarding of physical assets, including new acquisitions, third-party contractor assets, and items designated for disposal. The assistant manages inventory records, prepares necessary reports, and coordinates asset-related processes such as assignment, transfer, and disposal. By maintaining meticulous inventory tracking and facilitating repairs and insurance claims, the role directly contributes to the efficient and compliant management of IOM's resources, supporting the operational needs of all GSSC units.
Responsibilities
Key duties include acting as the focal point for monitoring and distributing physical assets, managing inventory records, and preparing related reports. The role involves safeguarding assigned assets within the GSSC and managing the procurement and logistics stockroom. Responsibilities extend to reporting defective, lost, or retired assets, coordinating asset assignment forms, and conducting physical inventory checks quarterly and annually. The assistant will prepare documentation for asset transfers, disposals, donations, and loss/damage reports. Coordination with service providers for asset repair, facilitating insurance claims for lost assets, and arranging disposal or sale of defective items are also crucial. Additionally, the role includes asset tagging, updating inventory systems (Flexi Pro & WAVE), assisting with procurement processes (MyReceipt, IST, RFQ), and performing other assigned duties.
Work Experience
Experience in procurement and supply chain management is required. Six months of experience within a UN system or multicultural organization is advantageous. Experience with SAP procurement modules is also considered an advantage.

Proficiency in computer applications, including Microsoft Office Suite (Word, Excel).
