Project Assistant (labour Mobility & Social Inclusion)

The International Organization for Migration (IOM), a UN-related organization established in 1951, promotes humane and orderly migration. This Project Assistant role, based in Bujumbura, Burundi, operates under the Chief of Mission and LMI Senior Project Associate. The position provides crucial administrative, operational, financial, and logistical support for projects focused on labour migration, youth employment, diaspora engagement, skills development, social inclusion, and migration governance.
Job Purpose
The Project Assistant is responsible for providing comprehensive administrative, operational, financial, and logistical support to ensure the effective implementation of projects within the Labour Mobility and Inclusion (LMI) Unit. This role is critical for the successful delivery of initiatives related to labour migration, youth employment promotion, diaspora engagement, skills development, social inclusion, and migration governance. The incumbent will collaborate closely with internal programme units, M&E, finance, and procurement teams, as well as external partners including government institutions, UN agencies, civil society organizations, and private sector stakeholders. By ensuring timely and high-quality project activity execution, the Project Assistant directly contributes to IOM's mandate of promoting humane and orderly migration and harnessing its full potential for the benefit of all.
Responsibilities
Provide administrative, operational, and coordination support for the Labour Mobility and Inclusion (LMI) Unit projects, adhering to workplans and timelines. Support the planning, organization, and logistics of LMI activities such as workshops, trainings, meetings, and field missions, including drafting invitations and preparing minutes. Draft, edit, and format routine project documentation, correspondence, and reports. Assist with procurement and finance processes by preparing and tracking administrative requests and ensuring documentation compliance. Maintain organized electronic and physical filing systems and update project records for monitoring and auditing purposes. Support LMI communication efforts by collecting information and activity highlights. Perform other related duties as assigned to support the LMI Unit's objectives.
Work Experience
A minimum of two years of relevant experience in project support, administration, logistics, finance, or programme implementation is required. Experience in development, migration, diaspora engagement, employment, youth empowerment, or humanitarian programmes is a strong asset. Proficiency in Microsoft Office Suite and familiarity with modern communication platforms, data collection tools, and AI-based tools are essential. Good organizational skills, attention to detail, and the ability to manage multiple tasks under pressure are also necessary.
