Organizational Context

This Project Assistant role, under the Chief of Mission for Belgium and Luxembourg and the Head of the Labour Mobility and Social Inclusion (LMI) Unit, supports LMI projects focused on diversity and inclusion, capacity building, and enhancing expertise.
Job Purpose
The Project Assistant will contribute to the implementation of Labour Mobility and Social Inclusion (LMI) projects, specifically within the 'Child pillar,' with a significant focus on advancing diversity and inclusion initiatives. This involves supporting the development of tailored capacity-building programs for partners, fostering inclusive practices, and strengthening IOM's internal expertise in diversity and inclusion across its project portfolio. The role operates within the IOM Country Office for Belgium and Luxembourg, reporting to the Head of the LMI Unit and ultimately the Chief of Mission, aiming to enhance the organization's impact on migration and inclusion.
Responsibilities
Key duties include assisting in project activity implementation and monitoring, retrieving, compiling, and summarizing project-related data. The role involves budget monitoring, verifying fund availability, and updating budget information. Administrative coordination of project implementation is crucial, requiring liaison with internal units and external parties for requests and clearances. The Project Assistant will draft status reports, identify delivery shortfalls, and prepare correspondence, reports, briefing notes, and other documentation. Organizing meetings, workshops, and training sessions, responding to general inquiries, and maintaining project files are also core responsibilities. Performing other related duties as assigned is expected.
Work Experience
Required experience includes liaising with governmental authorities, national/international institutions, UN agencies, and NGOs. Experience working with vulnerable groups such as migrants, refugees, and victims of trafficking is essential. Prior experience in international humanitarian organizations or in a multicultural setting is advantageous. Proven experience in project implementation, particularly with EU-funded projects, and a solid understanding of the Belgian migration and integration context are also necessary.
Skills
Strong organizational and time-management skills are essential. The role requires strong communication and diplomacy skills, the ability to work independently, and the capacity to perform effectively under time pressure.
