Supply Chain Associate - 2 Positions
Organizational Context
The International Organization for Migration (IOM) is seeking to fill two Supply Chain Associate positions in Kyiv, Ukraine. These roles are crucial for supporting the organization's operations by ensuring efficient and compliant procurement and logistics processes. The positions are graded at G-5 level.
Job Purpose
The Supply Chain Associate will be responsible for managing and executing procurement and logistics activities in accordance with IOM's rules and procedures. This includes receiving and processing requisitions, preparing tender documents, coordinating with suppliers, monitoring deliveries, and processing payments. The role also involves maintaining procurement records, conducting market surveys, managing asset and property, and coordinating shipments and customs clearance. Additionally, the associate will provide guidance and training to staff on procurement procedures, ensuring compliance and supporting the overall mission objectives through effective supply chain management.
Responsibilities
Receive and consolidate procurement requisitions, verifying compliance with policies and obtaining necessary information. Assist in complex and high-value purchases. Prepare tender documents, solicit bids, and participate in the evaluation process. Confirm agreements with selected suppliers, prepare purchase orders, and coordinate authorizations. Monitor requisition status and ensure timely delivery of goods and services, coordinating receipt confirmation. Review vendor invoices, prepare payment requests, and liaise with Finance for timely payments. Maintain physical and electronic procurement records, retrieve information, and prepare reports. Conduct market surveys to identify and evaluate potential suppliers. Track contractual agreements, monitor office supplies, and process utility payments. Provide technical guidance and training to staff on procurement procedures. Perform logistics tasks related to property, asset management, warehousing, insurance, maintenance, and transportation. Coordinate shipment and customs clearance, ensuring regulatory compliance.
Work Experience
Experience in procurement and logistics, including working with vendors and service providers, and managing asset processes. Experience with IOM/UN Procurement and Logistics Rules and Procedures, and working in an international organization, are advantageous.
Skills
High computer literacy. Knowledge of Oracle ERP (Wave) is highly desirable. Ability to work with national and international institutions. Ability to prepare clear and concise reports. Excellent communication and negotiation skills.
