Organizational Context
The International Organization for Migration (IOM) in Erbil, Iraq, seeks a Supply Chain Associate for Facilities Maintenance & Admin. This role operates under the direct supervision of the Sr. Supply Chain Assistant (Logistics) and collaborates with various units within the Erbil Sub Office, reporting overall to the Head of Resources Management Officer.
Job Purpose
The Supply Chain Associate for Facilities Maintenance & Admin is responsible for managing and overseeing the facilities maintenance and administrative functions within the IOM Erbil Sub Office. This includes ensuring the smooth operation and upkeep of office facilities, managing supplies, and coordinating with service providers. The role contributes to the efficient functioning of the office by maintaining a safe, secure, and well-equipped working environment, ensuring that all maintenance activities and administrative tasks are performed in accordance with IOM procedures and donor requirements, and supporting the overall logistics and resource management efforts of the organization in Iraq.
Responsibilities
Manage all facilities maintenance activities, responding promptly to requests and ensuring timely processing of payments for services rendered. Verify that all maintenance actions are approved by the relevant Project Manager and adhere to donor requirements. Maintain comprehensive records of all facilities maintenance transactions and ensure an efficient filing system is in place. Coordinate the scheduled maintenance of essential equipment such as generators, lifts, and security X-ray machines. Support the Sr. Supply Chain Assistant by ensuring service provider contracts are current and by coordinating with Procurement and Finance for efficient maintenance execution. Prepare monthly progress reports on facilities maintenance. Manage office stationary and consumables, ensuring timely replenishment and accurate record-keeping of movements. Track Sim Cards and monitor airtime credit for staff phones. Oversee the work of service providers for office cleaning, garbage removal, and equipment maintenance. Monitor office cleanliness and ensure adequate supplies for kitchens and restrooms. Perform other assigned duties.
Work Experience
Requires professional experience focusing on local procurement, VAT, and Iraqi laws and regulations. Experience in facilities management, insurance management, and inventory/stock/supplies management is essential. Prior experience working with an international organization or NGO in a logistics capacity is also required.
Skills
Ability to work independently with minimal supervision. Strong managerial skills in planning, organization, and reporting. Good communication skills. Ability to work effectively with diverse colleagues and handle confidential matters. Capacity to meet deadlines and perform under pressure. Good computer literacy; SAP knowledge is an advantage. Demonstrates personal commitment, efficiency, flexibility, and a drive for results.
