Administrative Assistant
Organizational Context
The Air Navigation Bureau (ANB) in ICAO provides technical guidance and expertise in aviation-related disciplines to States, industry, and the Organization. It maintains and implements global aviation plans, develops technical proposals, and manages the Universal Safety Oversight Audit Programme. The incumbent provides administrative support to bureau Chiefs, Programme Coordinators, and technical officers.
Job Purpose
To provide efficient administrative and logistical support for the planning, implementation, and quality management of the work programme within the Air Navigation Bureau, including support for meetings, events, and travel processes.
Responsibilities
Coordinate administrative tasks, maintain documentation, assist in scheduling meetings, draft correspondence, manage websites, monitor task progress, proofread and format documents, edit materials, file documentation, coordinate meeting logistics, prepare and distribute meeting materials, provide guidance for travel processes, and perform other related duties.
Work Experience
Essential: A minimum of four years of experience in an office environment applying administrative procedures and practices. Desirable: Experience in records management, project management, organizing meetings and events, data analysis and reporting, and working in an international or culturally diverse environment.
