Travel Claims Associate
Organizational Context
The Travel Services Unit (TRSU) is part of the Safety & Security and General Services (SSG) Section within the Bureau of Administration and Services (ADB). TRSU coordinates all travel conducted under the auspices of ICAO, including travel originating from Regional Offices and CDI projects.
Job Purpose
To evaluate, verify, and process travel and removal authorizations and expense claims for official travel. This role ensures adherence to ICAO's rules and procedures, manages travel advances, and liaises with travelers and relevant offices.
Responsibilities
Process travel and removal authorizations, calculate cost estimates, manage travel advance payments in QUANTUM, analyze Special Service Agreements, and monitor pending authorizations. Evaluate and process travel expense claims, record financial records, process travel entitlements, and reconcile payments. Liaise with staff, consultants, and offices to provide information on travel rules and entitlements. Perform other travel or accounting-related duties as required.
Work Experience
Essential: At least six years of experience as a Travel Claims or Accounting Assistant. Desirable: Experience in a United Nations organization.
Skills
Professionalism in applying internal controls for Accounts Payable in an ERP environment, understanding financial reporting, interpreting financial rules and regulations, and knowledge of Canadian tax invoice requirements. Teamwork, Planning and Organizing, Accountability, and Client Orientation are also key competencies. Experience with the QUANTUM ERP system is implied.
