Organizational Context
The Division of Nuclear Fuel Cycle and Waste Technology supports Member States in developing safe and effective approaches for research reactors, nuclear fuel cycle, decommissioning, radioactive waste management, and environmental remediation. The Decommissioning and Environmental Remediation Section specifically assists Member States in decommissioning nuclear facilities and remediating contaminated sites, focusing on policy development and best practices for sustainable project implementation.
Job Purpose
Reporting to a Section/Unit Head or Supervisor, the Team Assistant provides crucial administrative support to a group of Professionals. This role is essential for the efficient operation of the office, offering assistance and guidance on administrative practices and procedures. The Team Assistant ensures smooth workflow by managing correspondence, organizing meetings, coordinating logistics, and maintaining essential databases, thereby enabling the professional staff to focus on their core technical and programmatic responsibilities.
Responsibilities
The Team Assistant manages correspondence, drafts standard communications, and formats various documents, including reports and technical materials, according to established guidelines. This role is responsible for maintaining the work unit's records office, ensuring proper filing of both paper and electronic documents, and liaising with records management staff. Additionally, the Team Assistant coordinates internal and external meetings, seminars, and events, including logistical arrangements, document preparation, and minute-taking. Travel arrangements and expense claims for supervisors and participants are also handled. The position involves inputting and retrieving data from databases, assisting with budget tracking, and updating information systems. The Team Assistant may also distribute work among support staff and provide backup to executive offices.
Work Experience
A minimum of four years of general office support experience is required, with some experience in an international environment being advantageous. Proficiency in MS Office applications and database usage is essential.
