Programme Assistant
Organizational Context
The Department of Nuclear Sciences and Applications implements the IAEA's Major Programme 2, focusing on "Nuclear Techniques for Development and Environmental Protection." This programme supports Member States in meeting basic human needs and managing environments using nuclear and isotopic techniques. The Joint FAO/IAEA Centre assists Member States in improving food security and sustainable agriculture. Job Purpose
The Programme Assistant provides essential administrative support under the Section Head's supervision. This role is crucial for the smooth organization of conferences, workshops, and meetings, ensuring all logistical and administrative arrangements are managed efficiently. The Assistant also coordinates administrative tasks within the Section, working with clerical staff, and offers direct assistance to the Section Head and other professional staff. This support is vital for the effective functioning of the Section's activities and projects, contributing to the overall objectives of the Joint FAO/IAEA Centre and the Department of Nuclear Sciences and Applications.
Responsibilities
The Programme Assistant is responsible for comprehensive meeting and logistics support, including organizing conferences, workshops, and seminars, and making all necessary travel and meeting arrangements for participants. This includes coordinating travel and activities for Section staff, scheduling appointments, and preparing background materials. The role also involves managing administrative aspects of coordinated research projects, such as contract renewals and financial plan maintenance. Furthermore, the Assistant provides support for Technical Cooperation projects, handles office administration including procurement and supplies, and assists in preparing programme documents and reports. A key duty is managing correspondence and documents, which includes proofreading technical materials, updating databases and mailing lists, and drafting correspondence. The Assistant also collates information for newsletters and website maintenance, ensuring efficient communication and record-keeping.
Work Experience
A minimum of five years of general office support experience is required, with some experience gained in an international setting being advantageous.
Skills
Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and databases. Strong planning, organizing, communication, and analytical thinking skills. Ability to act with discretion and respect for confidentiality. Client orientation and knowledge sharing capabilities are also important.
