HR Specialist
Organizational Context
The Food and Agriculture Organization of the United Nations (FAO) supports the transformation to more efficient, inclusive, resilient, and sustainable agrifood systems to improve production, nutrition, the environment, and livelihoods globally. The Shared Services Centre (SSC) manages processes and procedures, ensures quality assurance for service delivery, and drives continuous improvement to enhance service excellence and reduce costs through standardization and automation.
Job Purpose
This position is within the Shared Services Centre’s Entitlements and Benefits Team, serving as a key member responsible for administering entitlements and benefits for all FAO staff members. The role focuses on ensuring the quality of work and adherence to service level agreements (SLAs) and key performance indicators (KPIs), contributing to the effective management of staff benefits and entitlements across the organization.
Responsibilities
Analyze complex cases, research, and provide policy-compliant solutions. Process staff-related actions in corporate systems accurately and within SLAs, maintaining HR records. Prepare standard staff action letters and draft correspondence on various HR matters, including waivers and clearances. Collaborate within the team on staff benefits and contract extensions. Ensure accurate and timely processing of education grants and review travel authorizations and expense claims. Support payment request processing by liaising with other SSC units and investigate payment inquiries with finance staff. Regularly review and archive personnel files, staying updated on relevant rules and regulations. Train new staff, share process knowledge, and report any irregularities. Draft routine HR communications and maintain confidentiality of sensitive information. Perform other related duties as required.
Work Experience
A minimum of one year of relevant experience in administrative and human resources support work is required. This experience should demonstrate proficiency in handling HR-related tasks and supporting administrative functions within an organizational setting.
Skills
Key competencies include Results Focus, Teamwork, Communication, Building Effective Relationships, and Knowledge Sharing/Continuous Improvement. Proficiency in MS Office applications, internet, and office technology is required. Experience with corporate electronic databases and systems is considered an asset.
