Administrative Assistant - Human Resources

Job Purpose
The Administrative Assistant - Human Resources will provide essential administrative and Human Resources support to FAO's operations in Angola. This role is crucial for ensuring that all HR activities are conducted in strict adherence to FAO's established rules, regulations, and internal procedures. The incumbent will contribute to the smooth functioning of HR processes, supporting the overall objectives of the FAO Representation in Angola and its various programmes and projects.
Responsibilities
The role involves supporting the hiring plan for national and international affiliate workforce, including developing and reviewing Terms of Reference to ensure compliance with standards. Responsibilities include coordinating the publication of vacancy announcements, managing the selection process by organizing interviews and preparing candidate reports, and overseeing the complete contract cycle within the Global Resource Management System (GRMS). The incumbent will monitor contract validity, initiate renewal or termination processes, and provide administrative support for consultant payments. Additionally, the role requires contributing to a positive work environment, facilitating knowledge sharing, assisting with performance evaluations, maintaining official status files, and ensuring the confidentiality of sensitive information. Performing other related tasks as required is also part of the duties.
Work Experience
A minimum of three years of relevant experience in administrative and/or Human Resources support functions is required. This experience should demonstrate a solid understanding of HR processes and administrative tasks within a professional setting.
Skills
Key skills include a results-oriented approach, teamwork, effective communication, and building strong professional relationships. The ability to share knowledge and drive continuous improvement is important. Proficiency in Microsoft Office applications, particularly Word, Excel, and PowerPoint, is essential. Knowledge of procurement principles and procedures, as well as FAO's computerized financial/personnel/travel systems, is beneficial. The role also requires professionalism, the ability to work under pressure, and discretion in handling confidential information.
