Event Specialist (Digital Agriculture)

Organizational Context

The Food and Agriculture Organization (FAO) Regional Office for Europe and Central Asia (REU) leads regional efforts in food security, agriculture, and rural development. Established in 2020, the Digital Agriculture team catalyzes digital transformation across the region, supporting key initiatives like the Digital Villages Initiative and the AgriTech Observatory. REU is organizing a flagship 3-day regional forum on "AgriFood Innovation in the AI and Digital Age" in Tirana, Albania, in partnership with the Albanian Ministry of Agriculture and Rural Development. This event will convene stakeholders to discuss digitalization and artificial intelligence in agrifood systems.

Job Purpose

The Event Specialist will be instrumental in the planning, coordination, and successful delivery of the "AgriFood Innovation in the AI and Digital Age" regional forum. This role directly supports FAO's Strategic Framework, focusing on Digital Agriculture. The incumbent will manage the event from its initial concept through to post-event reporting, ensuring high standards of quality, inclusivity, and adherence to FAO's brand guidelines. Acting as the central coordinator, the specialist will integrate the expertise of technical, operational, procurement, administrative, and communications teams to ensure a cohesive and impactful event.

Responsibilities

Develop and manage a comprehensive event workplan, timeline, and budget, ensuring alignment with technical priorities. Support the design of the three-day programme, coordinating with technical specialists to ensure thematic coherence and integration of AI as a cross-cutting theme. Develop sponsorship prospectus and partnership packages to mobilize additional funding and secure commitments. Coordinate all logistical aspects, including venue selection, audio-visual setup, catering, accommodation, and security. Manage the procurement of event-related services, including drafting Terms of Reference and managing contracts. Coordinate the exhibition space and liaise with technology partners. Develop contingency plans and risk registers. Support the identification and coordination of speakers, ensuring diverse representation. Prepare speaker briefing packages and participant materials. Manage audience engagement tools and liaise with national counterparts on protocol. Develop and implement the event communications and outreach strategy, overseeing the production of all event materials and managing social media presence. Coordinate the production and dissemination of post-event knowledge products, including reports and recordings. Provide support to other digital agriculture initiatives and ensure compliance with FAO communications standards.

Work Experience

At least 5 years of relevant experience in event management, conference organization, project management, or related fields, preferably within an international or intergovernmental organization. Experience in travel, administrative, or financial support is also relevant.

Skills

Demonstrated experience in planning and delivering large-scale international conferences, including end-to-end project management. Proven ability to manage event budgets, procurement processes, and service provider contracts. Strong skills in managing speaker and VIP relations, with protocol awareness. Experience in developing sponsorship packages and mobilizing resources. Familiarity with digital agriculture or agri-tech innovation is a strong asset. Excellent written and verbal communication skills, including drafting briefs and communications materials. Experience managing social media and digital communications for high-profile events. Strong organizational skills, problem-solving abilities, and attention to detail. Proficiency in Albanian is a strong asset. Experience with UN agencies, particularly FAO, or international organizations is highly desirable.
