Job Purpose
This role provides crucial administrative and operational support within the FAO Representation in Sudan. Key functions include managing office operations, coordinating travel arrangements, assisting with financial processes, overseeing inventory management, and providing protocol services. All activities must be conducted in strict adherence to FAO's established rules and procedures, ensuring efficiency and compliance in support of the organization's mission.
Responsibilities
The Administrative Clerk will provide daily administrative and clerical support, maintaining organized electronic and hard copy filing systems according to FAO standards. Responsibilities include drafting routine correspondence, supporting documentation processes, and assisting in the organization of meetings and events. The role also involves ensuring the proper maintenance of office premises, coordinating repairs, and monitoring office supplies for timely replenishment. Travel arrangements, including the preparation of Travel Authorizations and bookings, will be managed, along with support for travel claims and documentation. Financial tasks include processing invoices, managing petty cash, and maintaining financial records. Additionally, the clerk will maintain inventory and asset records, conduct physical verifications, and provide protocol support for official engagements. Liaising with stakeholders and performing other duties as assigned are also key aspects of this role.
Work Experience
A minimum of two years of relevant experience in administrative or clerical work is required. Experience in administrative, logistics, or office support services is essential. Familiarity with financial and administrative procedures is also necessary.
Skills
Essential skills include Results Focus, Teamwork, Communication, Building Effective Relationships, and Knowledge Sharing. Proficiency in MS Office applications (Word, Excel, Outlook) is required, along with strong organizational and multitasking abilities.
