Governing Bodies Support Specialist
Organizational Context
The Food and Agriculture Organization of the United Nations (FAO) supports the transformation to efficient, inclusive, resilient, and sustainable agrifood systems to improve production, nutrition, the environment, and livelihoods. The Governing Bodies Servicing Division (CSG) provides secretariat services for FAO's Conference and Council, supports all Governing and Statutory Bodies, and manages multilingualism expertise. CSG also offers protocol and meetings services and maintains liaison with Members.
Job Purpose
This role supports the Governing Body Secretariat functions, focusing on governance matters and liaison with Members. The incumbent will facilitate the delivery of integrated corporate services through key platforms. This includes managing official correspondence, supporting the Members Gateway, and maintaining the RBA Calendar. The position is crucial for ensuring smooth communication and efficient operations between FAO and its Member States, contributing to effective governance and decision-making processes within the organization.
Responsibilities
The role involves supporting the coordination of procedures for Governing Body and Statutory Body meetings. It requires acting as a liaison with Members, addressing inquiries, and providing guidance on governance procedures. The incumbent will ensure clear and timely communication via channels like the Members Gateway and Official Correspondence. Support will be provided for the implementation of integrated corporate services through the Members Gateway, website, and Rome-based Agencies (RBA) Calendar. Responsibilities include assisting in the collection, analysis, and review of governance-related documents, ensuring accuracy and alignment with organizational objectives. The role also entails assisting in the preparation and dissemination of formal correspondence, contributing to training materials, and collecting information for reports and presentations on governance matters. Reviewing policies and supporting efficient meeting processes, particularly for the FAO Conference and Council, are key duties. Additionally, support will be provided to the Independent Chairperson of the Council.
Work Experience
A minimum of one year of relevant experience in fields such as Social Sciences, Political Sciences, International Law, Economics, or Agriculture is required. Experience in conference management within an intergovernmental setting is desirable. Experience in multiple work locations or areas, particularly in field positions, is also considered an asset.
Skills
Key skills include results focus, teamwork, communication, building effective relationships, and knowledge sharing. Demonstrated ability to draft and edit documents is essential. Understanding of FAO's rules, regulations, and procedures for Governing Body meetings is a significant asset. Familiarity with the functioning of UN agencies and the UN system is also highly valued.
