Finance Specialist
Organizational Context
The Food and Agriculture Organization of the United Nations (FAO) supports the transformation to efficient, inclusive, resilient, and sustainable agrifood systems to improve production, nutrition, the environment, and livelihoods. The Shared Services Centre (SSC) in Budapest, Hungary, manages processes, quality assurance, and service delivery, aiming for continuous improvement and cost reduction through standardization and automation. This role is situated within the FAO Shared Services Centre.
Job Purpose
The Finance Specialist, under the supervision of the Finance Officer and senior Finance associates, will be responsible for assisting in the processing of transactions and updating critical financial data within the Oracle (GRMS) system. This includes managing the Supplier master file and contributing to the accuracy and integrity of the General Ledger. The role is key to ensuring efficient financial operations and maintaining accurate supplier and banking information, supporting the overall financial management objectives of the FAO Shared Services Centre.
Responsibilities
The Finance Specialist will coordinate with vendors, FAO departments, and Country Offices to gather and update vendor records, including bank details, in Oracle Financials. This involves utilizing banking databases to verify vendor bank information and IBAN validity before entry. The incumbent will update Oracle Financials with this information, respond to transaction processing inquiries, and report any irregularities. Responsibilities also include maintaining daily work statistics for monthly reports, adhering to Service Level Agreements (SLAs) for vendor and banking updates, and participating in the creation of journal vouchers. Providing high-level customer service, assisting with system testing and upgrades, participating in projects and training, and providing backup to colleagues are also key duties. The role may involve other related tasks as required.
Work Experience
A minimum of one year of relevant experience in vendor and banking or master data management is required. This experience should demonstrate proficiency in handling financial data related to vendors and banking operations, and ideally include experience with ERP systems.
Skills
Essential skills include Results Focus, Teamwork, Communication, Building Effective Relationships, and Knowledge Sharing and Continuous Improvement. Candidates should possess knowledge of communication and documentation standards, MS Office applications, and Oracle ERP or similar systems. Knowledge of another FAO official language (Arabic, Chinese, Russian, or Spanish) is considered an asset.
